PRIVACY POLICY
How we look after your information
Last updated 17 October 2026
We collect as little as we can, use it only to run Mates, and never sell it. This policy explains what we collect, why, who helps us handle it, and how to reach us. We follow the Australian Privacy Principles as best practice.
Who we are
The Mates Association (ABN 58 727 692 378) is a community not-for-profit in Queensland that brings men together at events to support men's mental health. In this policy, "we" and "Mates" mean the Mates Association. Contact: hello@matesassociation.com.
What we collect
- Newsletter. Your name, email and, if you choose to give it, your postcode. We also record when you subscribed.
- Shop orders. When you buy from our shop, Stripe collects your name, email, delivery address, billing details, your delivery choice (post or collect at the Gala) and, if you fill it in, the name of a mate the order is for. Stripe processes your card. We never see or store your card number.
- Event tickets. Tickets are sold through Luma. Luma collects what it needs for your booking and shares your name, email, ticket details and any answers to our registration questions with us as the event host.
- Messages. If you email us, we keep your email and what you tell us so we can reply.
- Muster app trial feedback. If you send feedback from the Muster trial, it opens your email app with your message and, if you add them, your name and email.
- Sponsors and suppliers. If you sponsor us, donate a prize or supply us, we keep your business contact and invoice details.
- Technical details. Our hosting providers automatically log your internet address and browser type to run and secure the site.
We do not ask about your health or mental health, and we ask you not to send us that kind of information through the website. If you enter a mate's name on an order, please only do so if they would be comfortable with it.
How we use it
- To send the newsletter you asked for.
- To fill and post your order, or hold it for collection.
- To run our events and contact ticket holders about them.
- To answer your messages.
- To keep our records and meet our legal obligations.
We only use your information for these purposes, or for something closely related that you would reasonably expect.
Emails from us
We only email you about Mates if you subscribe or have a booking or order with us. Every newsletter tells you who it is from and includes a way to unsubscribe. You can also email hello@matesassociation.com and we will take you off the list within 5 business days. Buying a ticket or a pin does not sign you up to the newsletter.
Who helps us, and where your information goes
We do not sell, rent or trade personal information. We use these services to run the website, shop and events. Some of them store or process data outside Australia.
| Service | What it does for us | Where data may be handled |
|---|---|---|
| Stripe | Card payments and order details for the shop | United States and other countries |
| Luma | Event ticketing and guest lists | United States |
| Convex | Stores newsletter signups | United States |
| Vercel | Hosts this website | United States and other countries |
| Zeller | Invoices and payments for sponsors | Australia |
| Google Fonts | Fonts on our pins page and Muster trial page | United States |
| CARTO and Esri | Map images in the Muster app trial | United States and other countries |
We may also share information if the law requires it, or to prevent a serious threat to someone's life or safety.
Cookies and storage in your browser
Mates sets no cookies, and we use no analytics, tracking or advertising tools. On the main site your browser keeps three small things: your cart, whether you have subscribed, and your privacy choice. The Muster app trial also keeps your character and any feedback you write on your device, and only uses your camera, if you allow it, to make your character on your device. Nothing is uploaded. All of this stays on your device, and you can clear it in your browser settings at any time.
If you choose "Accept all", we also load Luma's ticket checkout so you can book without leaving the page. Luma may set its own cookies. If you choose "Essentials only", the ticket button opens Luma's website instead. When you pay, Stripe and Luma use their own cookies on their own pages. Our pins page and Muster trial page load fonts from Google, and the Muster trial loads map images, so those providers receive your device's internet address when the page opens. You can change your choice at any time.
Keeping it safe
We limit access to member and order details to the committee members who need it, protect our accounts with strong passwords, and keep information only as long as we need it. Newsletter details are kept until you unsubscribe. Order and payment records are kept for as long as tax law requires, usually five years.
Seeing or correcting your information
You can ask what we hold about you, ask us to correct it, or ask us to delete it. Email hello@matesassociation.com. We will reply within 30 days, and it costs nothing.
Concerns and complaints
If you are unhappy with how we have handled your information, email us first and we will reply within 30 days. You can find more information about your privacy rights from the Office of the Australian Information Commissioner at oaic.gov.au.
Age
Events where alcohol is served are for people aged 18 and over, and this website is not directed at children.
Changes to this policy
If we change how we handle information, we will update this page and the date at the top. If the change is significant, we will ask for your privacy choice again.
